Administrative Assistant – Staff Position

Part time 12.50/hr

The Ellensburg Downtown Association is hiring a part time Administrative Assistant who is outgoing, organized, self-motivated, works well with people, and pays close attention to detail to produce quality work. Individuals who apply must be ready to hit the ground running and jump into some fun projects with both feet!

The right person will gain experience in the fields of office management, promotion, public relations, non-profit, event planning, communications, and more. This is the perfect entry-level position for someone who is looking to build their resume and gain experience, or someone who has a passion for downtown and would like to play a larger role in its success. Working for the EDA allows staff to be involved in important projects that make a visible impact on the community while networking and being active in the downtown.

This position is 25 hours a week, Monday – Friday, with some occasional evening and weekend work required for events. WE ARE WILLING TO WORK WITH A CLASS SCHEDULE OR ANOTHER JOB’S SCHEDULE. Students are welcome to apply! The EDA office hours are 9 am – 5 pm and we are flexible with the AA’s working hours within that.

Tasks include but are not limited to:

The Administrative Assistant will assist the PR Coordinator and Executive Director in day-to-day tasks.

Office management-

  • Primary contact for telephone calls and walk-ins, transfer calls, take and log messages.
  • Ensure office remains stocked with necessities.
  • Greet and direct guests as they arrive.
  • Ensure office remains tidy, organized, and welcoming.
  • Primary care giver to office fish, Blue!

Promotion-

  • Distribute promotional material, newsletters, event sign-ups, etc.
  • Assist in maintaining EDA Facebook and Instagram.
  • Assist in updating EDA website and software program.

Event Planning-

  • Assist in the planning and promotion of events.
  • Work events when needed.

Volunteer Recruitment-

  • Plan quarterly Volunteer Open House events.
  • Actively promote open volunteer positions within the EDA.

Other-

  • Maintain EDA scrapbook.
  • Attend monthly Board meetings (4th Monday of the month, 4-5:30 pm)
  • Attend at least one committee meeting a month.
  • Update Chamber and Daily Record calendar of events.
  • Write and mail thank you notes to volunteers and organizational supporters.
  • Other duties as assigned

Qualifications:

  1. Exceptional organizational, interpersonal, written and verbal communication skills are required.
  2. Well organized self-starter capable of working in independent and group settings.
  3. Successful experience in an administrative role.
  4. Must have general computer skills and be proficient using Facebook and Instagram, Canva, word processing, and spreadsheet applications.
  5. Preferred software experience Adobe Creative Suites, WordPress, and Weebly.
  6. Must have your own reliable transportation to use during events and/or to distribute promotional material.
  7. High School diploma, or the equivalent, required.

Board Member – Volunteer Position

The EDA is currently looking to fill the volunteer positions of Board Treasurer and Board Secretary to complete our Executive Committee. A Board term consists of three years while Executive Committee positions are voted on once a year. The EDA’s Board meetings take place on the 4th Monday of the Month at 4-5:30 pm.

Board members are expected to attend 9 of the 12 yearly Board meetings and must join one of the four EDA Committees (Organization, Design, Economic Vitality, or Promotion). Executive Committee members are also expected to attend a planning meeting prior to the Board meeting each month. This year, all Board members are expected to attend a strategic planning day set for November 2nd.

The Treasurer specifically will be tasked with meeting on a schedule determined by the Treasurer and Executive Director to go over the EDA’s finances. The Treasurer will deliver the Treasurer’s Report each Board meeting.

Helpful experience for Secretary:

  • Organization skills
  • Must be able to type quickly and efficiently
  • Business management
  • Prior board experience

The Secretary specifically will be tasked with typing notes at each Board meeting and sending the meeting minutes to the Executive Director in a timely manner. This position will also play a role in making sure all appropriate state filings/reports are done on time.

Applicants for the above positions will be required to meet with the Board President and Executive Director to go over experience, expectations, and contract. These positions are also subject to a Board vote.

Organization Committee Chair – Volunteer Position 

The EDA is seeking a volunteer Chair for our Organization Committee.

The Organization Committee works on planning fundraising events, recruiting and retaining volunteers, and managing our Volunteer of the Month social media program. The Committee meets once a month on the third Thursday from 12-1 pm. Additional tasks outside of the meetings are to be expected. Average time requirement per month: 3-5 hours.

Expectations:

The Org Committee Chair will sign a contract stating that they will –

  • Commit to a year as Org Chair
  • Attend each Org Committee meeting (or arrange to be absent in advance allowing the staff to fill in)
  • Create meeting agendas
  • Send out meeting reminders (via email) one week in advance
  • Create monthly Committee Report based on what was discussed at the meeting
  • Send the committee report to EDA Staff within a timely manner
  • Be kind, open to the ideas and feedback of your committee, and have FUN!

Committee Member – Volunteer Positions

The EDA is currently looking for volunteers for the following committees:

  • Promotions: responsible for driving traffic downtown through events and promotional campaigns. This committee meets the second Tuesday of the month from 12-1 pm. Average time requirement per month: 2-5 hours
  • Organization: responsible for planning fundraising events, recruiting and retaining volunteers, managing the Volunteer of the Month social media program, and creating EDA promotional campaigns. This committee meets the third Thursday of the month from 12-1 pm. Average time requirement per month: 2-5 hours
  • Design: responsible for the beautification of downtown. This committee manages the downtown planters and street furniture, roofline lighting, pedestrian safety, and events like Downtown Clean Up and Downtown Planter Day. This committee meets the first Monday of the month from 4-5 pm. Average time requirement per month: 2-5 hours

Committee Member – Dachshunds on Parade

The EDA is currently looking for people who are willing to help with the planning of Dachshunds on Parade. This committee meets once a month from January-June with more frequent meetings leading up to the event. Committee members must plan on volunteering at DOP 2019. Committee members are expected to attend a majority of the meetings. Meetings will be set based on the committee members availability.

  • Help with the promotion of DOP (Share EDA posts over Facebook and/or Instagram, pass out flyers/posters, etc.)

Committee Member – Buskers in the Burg

Buskers Committee. Buskers in the Burg planning committee is responsible for assisting EDA staff in the planning and hosting of Buskers in the Burg, always taking place in the last weekend in September. Committee members help recruit stage acts and approve all busking acts. Members also plan Preview Night, edit/approve the Buskers Publication, and make all major decisions regarding festival layout, vendors, etc.

Helpful experience:

  • General understanding of the event, the EDA, and downtown.

Expectations:

  • Volunteering the day of the event (September 28)
  • Attend the majority of committee meetings
  • Help move the event along in and outside of meeting

Committee Member – Hometown Holidays

This committee is responsible for assisting EDA staff in the planning of our annual holiday events (Plaid Friday, Cookie Scavenger Hunt, Moments to Remember, and Teddy Bear Tea) and the creation of our annual Hometown Holidays publication. If you love all things merry and bright, this committee is for YOU.

HTH Committee will meet July-December at a time designated by the committee group.
